Event Terms and Conditions

Postponement of cancellation of event

In the event of a postponement, all tickets will automatically be valid for the new date, or transferable to someone else in the same ticket pricing bracket. Refunds will be available if you are unable to make the new event date.
New Local reserves the right to change the event venue within 10 miles of the advertised venue.

In the unlikely circumstance that we must cancel the event, we will refund any pre-paid registration fees. New Local Ltd shall not be liable for reimbursing the cost of travel or accommodation arrangements booked by those attending an event.

Cancellation and refunds

Where an event fee applies, you will be reimbursed as follows:

Cancellations prior to 1 May 2025 will be eligible for a full refund.
Cancellation between 1 May and 16 May 2025, cancellation fee of 50%.
Cancellation on or after 17 May 2025, no refunds will be paid.

Name changes
Member tickets are transferable free of charge. For paid tickets a discretionary transfer fee of £5 will apply.

Payments and payment methods
Where an event fee applies, event bookings will generate an invoice following confirmation of your booking. This will be issued to the delegate (or other contact as advised) via our booking platform.

Verification

All registrations will be verified by New Local. If bookings have been made under the incorrect category, the ticket will be cancelled and refunded and the individual notified to rebook in the correct category.

Ticket Categories
We define our ticket categories as follows.

New Local Members: Employees and elected officials of an active New Local member organisation on the date of the event. Should your organisational membership end between booking your place and the live event date, we will notify you and invite you to upgrade your ticket at the non member rate. If we do not hear from you, we will cancel your booking. The full list of New Local member organisations is shown here.

Public Sector and not-for-profits: This will include employees and elected officials of any local authority that is not part of the New Local membership, and employees of;
• The NHS
• Government departments
• National charities and not-for-profit organisations.

Community organisations:  Individuals representing organisations that are locally and volunteer-run and operate at a small scale. Any unincorporated community organisations will fall under this category, as well incorporated organisations that fulfil the other criteria.

Force Majeure
For the purposes of these terms and conditions, “force majeure” means any cause beyond our reasonable control including, but not limited to, war, acts of terrorism, governmental requirements, acts of local or central government or other competent authorities, acts of God and industrial disputes.

We will not be liable to you for failure to perform any obligation under these terms and conditions or in relation to your booking to the extent that the failure is caused by force majeure.

Recording disclaimer
During this event we will do all of the following:
• Take general photographs and videography
• Record audio output from the event
• Video record the event proceedings
Any subsequent photographs or recordings may be used in future New Local publicity materials only. All video and audio recordings and photographs will remain the property of New Local Ltd. By registering for this event, you are agreeing to the photographing and/or recording and/or filming of the proceedings, as described above, being made for future dissemination by New Local. If you wish NOT to be photographed or video recorded, please let the organisers know on arrival at the event.

Conditions of attendance
You must comply with instructions and directions given by New Local staff and agents of the venue and any applicable policies and procedures of which you are notified.
We reserve the right to refuse access to, or remove any delegate from any New Local event who, in our reasonable opinion has, or is likely to affect the experience of the other delegates, in our reasonable opinion is acting under the influence of alcohol or drugs, or who uses threatening, abusive or insulting words or behaviour.
New Local Ltd is dedicated to creating and maintaining a positive event experience where everyone is treated with dignity, courtesy and respect. 
Any discriminatory language and imagery are not appropriate at any New Local event, including in presentation material. Violation of these rules could result in exclusion from the event without a refund.
Please also refer to your own workplace’s grievance and disciplinary procedures on how they handle complaints against members of staff as we may report any breach of these conditions to your employer.
