Event Terms and Conditions

These terms and conditions apply to New Local in-person events. Additional terms or eligibility requirements may apply to individual events and, where applicable, will be made clear at the point of booking.

Free to attend events

Although there is no charge to attend our free events, there is a cost to New Local associated with providing each place and places are often limited.

If you are no longer able to attend, please let us know as soon as possible so that, where possible, we can offer your place to someone else. Where appropriate, we encourage you to nominate a suitable colleague to attend in your place. Any substitute attendee must meet any eligibility requirements that apply to the event and should be notified to us in advance.

We understand that plans sometimes change. However, where an individual repeatedly books places at New Local events and does not attend or notify us that they are unable to attend, we may take this into account when allocating places at future events.

Paid events

Cancellation and refunds

Where an event fee applies, the cancellation and refund arrangements for that event will be stated at the point of booking.

Unless otherwise stated, refunds will be made to the original payment method or organisation from which payment was received.

Transfers and name changes

Tickets may be transferred to another eligible attendee with New Local’s agreement. Any substitute must qualify for the same ticket category as the original attendee.

Where an administration fee applies to a ticket transfer, this will be stated at the point of booking.

Payments and payment methods

Where an event fee applies, event bookings will generate an invoice following confirmation of your booking. This will be issued to the delegate, or other contact as advised, via our booking platform.

Changes, postponement and cancellation

New Local reserves the right to make reasonable changes to an event where necessary, including changes to the programme, speakers, timings, venue or event format.

If an event is postponed, paid tickets will automatically be transferred to the new date. Tickets may also be transferred to another eligible attendee in accordance with these terms. Where you are unable to attend the rescheduled date, any registration fee paid will be refunded.

In the unlikely event that New Local cancels an event, any registration fees paid will be refunded.

Attendees are responsible for making their own travel, accommodation and other arrangements in connection with an event. New Local will not be responsible for reimbursing travel, accommodation or other associated costs arising from the cancellation, postponement or alteration of an event, except where liability cannot lawfully be excluded.

We therefore recommend that attendees consider flexible or refundable travel and accommodation arrangements where appropriate.

Registration and confirmation of places

Submission of a registration does not necessarily guarantee a place at an event. Where places are limited, invitation-only or subject to eligibility criteria, attendance is confirmed only once New Local has confirmed the booking.

All registrations may be verified by New Local. If a booking has been made under an incorrect ticket category, we may contact the attendee to amend the booking or, where appropriate, cancel the booking and refund any registration fee paid.

New Local reserves the right to decline or cancel a registration that does not meet the stated eligibility criteria for an event.

Ticket categories

Where different ticket categories apply, we define them as follows.

New Local Members: Employees and elected officials of an active New Local member organisation on the date of the event.

Should your organisation’s membership end between booking your place and the event date, we will notify you and, where applicable, invite you to upgrade your ticket at the non-member rate. If we do not hear from you, we may cancel your booking.

Public sector and not-for-profits: This includes employees and elected officials of local authorities that are not part of the New Local membership, and employees of:

  • the NHS;
  • government departments; and
  • national charities and not-for-profit organisations.

Community organisations: Individuals representing organisations that are locally based, volunteer-led and operate at a small scale. This includes unincorporated community organisations, as well as incorporated organisations that otherwise meet these criteria.

Accessibility and dietary requirements

We want our events to be accessible and inclusive. Please let us know about any access requirements when booking, or contact us as early as possible before the event.

We will make reasonable adjustments where required and will work with attendees and venues to accommodate dietary and other requirements wherever reasonably practicable.

Photography, filming and recording

During our in-person events, unless expressly stated otherwise, we may do some or all of the following:

  • take general photographs and video footage;
  • record audio from the event; and
  • video record event proceedings.

Photographs, video and audio recordings may subsequently be used in New Local communications, publications and promotional materials, including online and on social media.

If you do not wish to appear in identifiable photographs or video, please let the organisers know in advance or speak to a member of the New Local team on arrival. We will take reasonable steps to accommodate this.

All recordings and photographs commissioned or produced by New Local will remain the property of New Local Ltd.

Data protection

Personal information provided when registering for an event will be used to administer your booking, communicate with you about the event and facilitate your attendance.

Conditions of attendance

Attendees must comply with reasonable instructions and directions given by New Local staff, event organisers and representatives of the venue, as well as any applicable venue policies and procedures of which they are notified.

New Local is committed to creating and maintaining a positive event experience in which everyone is treated with dignity, courtesy and respect.

We reserve the right to refuse admission to, or remove from an event, any person who, in our reasonable opinion:

  • is behaving in a way that is disruptive or is likely to adversely affect the experience or safety of other attendees;
  • is acting under the influence of alcohol or drugs to an extent that affects their behaviour;
  • uses threatening, abusive or insulting words or behaviour; or
  • engages in discriminatory, harassing or otherwise inappropriate behaviour.

Discriminatory language, imagery or behaviour is not appropriate at any New Local event, including in presentations and other event materials.

A breach of these conditions may result in exclusion from the event without a refund. Where appropriate, New Local may also report serious breaches of these conditions to an attendee’s employer or organisation.

Force majeure

For the purposes of these terms and conditions, “force majeure” means circumstances beyond New Local’s reasonable control. These may include, but are not limited to, extreme weather, natural disasters, war, acts of terrorism, public health emergencies, governmental requirements or restrictions, acts of local or central government or other competent authorities, industrial disputes, significant transport disruption, or the unavailability of an event venue due to circumstances outside our reasonable control.

New Local will not be liable for a failure or delay in performing its obligations under these terms and conditions, or in relation to an event booking, to the extent that the failure or delay is caused by circumstances beyond our reasonable control.
